The role of Accounts Payable Officer is responsible for the seamless and accurate processing of creditors invoices and expense reimbursements as well as and the preparation of supplier payments twice weekly. In addition, they are responsible for the management and maintenance of the Concur system as well as the preparation daily cashflow and solvency calculations.
Accounts Payable Processing
Invoices, expense reimbursements and staff corporate credit card transactions are verified and processed on a regular basis with relevant authorisation.
Timely processing of payments (as defined by credit terms).
Invoices are reviewed for accuracy and work-flowed for approval.
Invoices are coded with the correct expense codes.
Setting up New Vendors.
Monitor the Accounts Payable inbox and respond to internal and external queries.
Escalate expense reimbursements and staff corporate credit card transactions that are not processed within designated terms or are unacceptable per HCF Corporate Credit Card and Employee Expense Policy.
Concur system
Ensure correct approval workflows are maintained.
Manage users and their authority levels.
Provide training to users.
Monitor and control aged outstanding items.
Cash management
Preparation of solvency calculations.
Daily preparation of cash flow and transfers to/from Cash Management account and JANA required for maintenance of necessary account balances.
Process Improvements
Proactively evaluate processes and procedures, looking for efficiencies and improvements to the status quo.
General
Provide backup for Reconciliation and Accounts Payable Officers.
Management of New Vendor & Staff Reimbursement policies.
Essential
3+ years experience in Accounts Payable or similar role.
Commercially astute, with strong numeracy skills.
PC skills to a high-level including Excel, Word.
Good negotiation and interpersonal skills.
Good verbal and written communication skills.
High level of initiative to challenge and improve existing policies.
An ability to positively represent the Finance department and HCF when dealing with internal and external customers.
Self-starter and ability to work with minimum supervision.
Desirable
Experience using Concur and Technology One.
